Venue Selection
Venue Selection is the process of finding the location and venue that best suites the event. Original Events, LLC researches properties that fit the event criteria based on our client’s specific needs. This search results in an analysis of possible options and if desired, Original Events, LLC coordinates and accompanies our client on a tour of the chosen venue to further explore the property. Original Events, LLC also represents the best interests of our client while facilitating the venue contract and making sure the final version includes all necessary components of our client’s wishes.
If overnight lodging is needed and Original Events, LLC is contracted to book the lodging, venue selection service fees are waived. Your room block rate will be a discounted rate only offered to your group and Original Events, LLC ensures the venue agrees to not extend that rate to the general public to guarantee you are receiving the best rate possible.
Venue Management
Venue Management entails working directly with the chosen venue to ensure all preparations have been considered and accounted for regarding the layout and details necessary to carry out a successful event. Meanwhile, Original Events, LLC simultaneously keeps our client informed at all times and includes them in strategy and milestone meetings. Original Events, LLC also continuously works with the venue to accommodate fluctuations in space and quantities by holding regular follow up meetings throughout planning, and arranges for the corresponding adjustments to be reflected in the final invoice.
Vendor Management
Vendor Management involves securing products and services that are needed outside of what is offered directly through the venue. Original Events, LLC works with third party vendors to acquire these items, just as in Venue Management, to further ensure all preparations have been considered and accounted for, place all necessary third party vendor orders and continuously work to accommodate fluctuations in space and quantities that effect third party resources. Again, Original Events, LLC holds follow up meetings with third party vendors throughout planning and arranges for the corresponding adjustments to be reflected in the final third party invoices.
Event Management
Event Management is the core of event planning and dives into the nuts and bolts of the preparations. This is where Original Events, LLC coordinates behind the scenes details, confirms everything is going according to plan and updates our client of all progress on a regular basis. There is also regular follow up with all parties involved to make sure tasks are accomplished on time and on budget. It is during this period where Original Events, LLC further works with the venue to place and audit all banquet event orders, submits all guarantees, verifies that contracts are being executed properly and finally conducts a post-event analysis.
Speaker/VIP Management
Speaker and/or VIP Management consists of Original Events, LLC acting as a liaison between our client and confirmed speakers and/or VIPs. Original Events, LLC creates necessary forms and regularly follows up with and communicates all pertinent event information to the confirmed speakers and VIPs. This component is also where Original Events, LLC manages the hospitality needs of the speakers and/or VIPs.
Onsite Management
Onsite Management, as the name suggests, is comprised of making sure all the hard work and planning is then executed efficiently during the event. This incorporates correct event setup including third party vendor placement, arrival of all venue and third party vendor products and services, successful implementation of the event activities, final tear down and accurate close out of the event. The goal of Onsite Management is to ensure the event occurs without a hitch and handle any unexpected circumstances that arise so the client, VIPs and attendees have a wonderful time.
If additional services outside the list above are requested, Original Events, LLC is happy to source those services with local, successful vendors and submit a separate proposal for client approval or give direct referrals.
